Stay within Your Ceiling

In Beacon HR, you can enter ceilings and track your FTE usage against your organization's provided ceiling. The Beacon Product Suite provides several reporting mechanisms for you to manage your FTE utilization, helping to ensure you never exceed your ceiling. 

Entering the Ceiling

To enter a ceiling for an organization, first navigate to the Workforce module in Beacon HR. Then, find the organization for which you would like to enter a ceiling, and click on the Admin Code. 
Next, click the 'Change?' hyperlink to update the ceilings. This will launch a new pop-up window.
From this pop-up, you can enter the ceiling amounts and add notes. Once you have made the desired changes, click 'Save'. 
Please note that your Beacon HR user group must be set up with access to alter ceilings in order to add and edit ceilings. 

Workforce Planning

Get a glance of the organizational hierarchy and the distribution of your FTE utilization from the Workforce Planning page. 
From the Workforce Planning page, you can customize your columns to view ceilings and FTE utilization at the Organizational level.

Select the Customize Column Preferences icon to select which columns you would like to view. 
From the Column Preferences utility, drag and drop your selected columns into the included items area.

In this example, we are selecting the Organization Name, FTE Ceiling, YTD FTE, Remaining FTE, and Projected FTE columns. When you have selected your columns, click 'Save Modifications'. 
After selecting your columns, you will return to the Workforce page.
You can click on an Admin Code to drill down to view a Summary of the Organization by Fiscal Year.

Click on the number of Active positions for a Fiscal Year to view the position-level detail and evaluate the impact of a position on your FTE usage.

You can click on an Employee Name to drill into the position and enter or update planning information including start dates or separation dates.

Ceiling Management Report

The Ceiling Management Report in the Beacon Dashboard provides a visual representation of your FTE calculations with drilldown capabilities.

Beacon Excel Add-in 

The Employee Ceiling and FTE functions are available with the Beacon HR Add-in and will allow you to report on your FTE ceilings and FTE utilization. This report will automatically refresh with the most current data from Beacon HR. To pull this data into a report in Excel, you will need the NetComm Beacon Add-in installed on your workstation. Once installed, navigate to the Insert Function option in Excel. 
When the Insert Function pop-up is displayed, select NetComm Beacon HR Functions from the select a category dropdown.
From the list of available functions, select the Employee Ceiling function and click OK. You will then see the Function Arguments pop-up, which will allow you to set the parameters of the function.

The Employee Ceiling function requires users to define the Admin Code, Fiscal Year, and Ceiling Type. Once you have set the parameters, click OK to view the results of the function.
Below is an example of a FTE Ceilings and Actuals report you can set up in Excel to automatically populate with the most current data from Beacon HR.
